The Covered Entities module provides a complete view of a covered entity’s profile in Beacon Rebate Model. It serves as the central reference point for entity information, registration and banking status, users, partners, shipping locations, and eligible contract pharmacies.
Use the Entity Profile to review how a covered entity is configured in Beacon and manage access and operational information associated with the entity.
Entity Details
The Entity Details section displays key identifying and registration information for the covered entity you are currently viewing.
The key fields that help identify entities in Rebate Model are:
340B ID – A unique identifier assigned by HRSA to each covered entity participating in the 340B Drug Pricing Program. This ID distinguished the entity within Beacon and all HRSA related data.
Entity Type – The HRSA-designated classification of the covered entity. The entity types helps determine the operational structure and regulatory characteristics of the organization.
Primary Contact – The individual designed as the main point of contact for the covered entity.
Authorizing Official – The individual authorized to attest to the accuracy of the entity’s information and approve its participation in Beacon Rebate Model.
Beacon Registration Date – Indicates the date that the entity registered with Beacon.
Bank Status – Shows whether banking information has been submitted and verified for the entity or not.
Administrators – The total number of users assigned the Administrator role for the entity. Administrators can manage users, partners, and banking information within the Entity Profile.
Users – The total number of users associated with the entity, including administrators and standard users.
In addition to the Entity Details, the Covered Entities includes several lists that offer operational insight into how the entity functions within Rebate Model.
Covered Entity Shipping Locations
Covered Entity Shipping Locations list displays physical addresses associated with the covered entity based on HRSA data.
For hospitals, Beacon consolidates duplicate shipping addresses across the parent site and related child sites to provide a single view of the entity’s locations and associated NPIs. For grantees, Beacon displays the shipping locations included in the grantee’s HRSA record.
Each shipping location may include one or more associated pharmacy NPIs. The same NPI may appear at multiple locations when a provider operates at more than one address.
Beacon uses these NPIs as part of its validation process to help identify eligible pharmacies for pharmacy claims and eligible administration sites for medical claims.
Eligible Contract Pharmacies
The Eligible Contract Pharmacies list displays dispensing entities associated with the covered entity based on manufacturer-specific contract pharmacy eligibility criteria established in 340B ESP.
For each eligible contract pharmacy, you can review the pharmacy NPI and the manufacturer or manufacturers for which the pharmacy is considered eligible.
Because a contract pharmacy may serve multiple covered entities, the same pharmacy NPI can appear under more than one covered entity.
Eligibility is manufacturer-specific. A pharmacy appearing in this list may be eligible for one manufacturer and not another based on each manufacturer’s contract pharmacy policy.
Users
The Users list displays all users associated with the covered entity and their assigned roles. Use this list to review who has access to the entity and, if you have the appropriate permissions, manage user roles and access.
Tip: Want to invite additional users to your covered entity? See the How to Add/Invite a New User to an Entity for step-by-step instructions.
Partners
The Partners list displays authorized third parties associated with the covered entity, such as third-party administrators (TPAs) or consultants. Partners access covered entity data using permissions granted through an access token.
Use the Partners list to review authorized partners and their permissions. Users with the appropriate access can also update or revoke partner permissions.
Tip: For more information on inviting partners to an entity, check out the article, How to Add/Invite a Partner to Your Entity.
Remittance Email
Admins can select Remittance Email from the Covered Entities to manage which users receive the covered entity’s weekly remittance report.
The remittance report provides a weekly breakdown of rebate payments made to the covered entity, including information that helps you understand which rebate payments were issued and the covered entities associated with those payments. Select Remittance Email to add or update the users who should receive the report by email.
Note: The Remittance Email button is available only to user with Admin permissions. If you would like to be included on the weekly Remittance Email distribution list, please contact an Admin for your covered entity.
