How to Create a Column Mapping Template for Data Submissions

Column mappings let users match the field names in their medical and pharmacy claims files to the fields required by Beacon Rebate Model. Creating column mapping templates saves you time by allowing users to reuse established mappings across multiple submissions.

Presently, Beacon is not accepting the submission of any claims or purchase data. In the interim, users can get familiar with the functionality surrounding pharmacy data submissions such as column mapping and reviewing data formatting errors.

Prerequisites

  • You must be a registered user for at least one covered entity

  • You must have access to a medical or pharmacy claims file, which will be used to establish the mapping, but does not need to be submitted

Steps

Follow these steps to create a column mapping template:

  1. Navigate to the appropriate Submissions tab

  2. Open the Column Mappings tab. The Column Mappings tab is where you can find all existing column maps and create new ones

  3. Select Create New Mapping to open a new column map

  4. Enter a name for your new column mapping template. This template name is for internal use only and will not appear in your submission

  5. Click Attach to upload your file for column mapping. This file is only used to configure the mapping and can be deleted after the mapping have been saved

  6. Drag and drop field headers from your attached file to its corresponding column map field. If a field header in your medical claims file doesn’t match Beacon’s, map it to the closest corresponding field using Beacon’s descriptions. For example, if your file includes Contracted Entity ID, map it to 340B ID

  7. If a formatting issue is detected, Beacon will display an Error alert. To correct the issue, click the trash icon to remove the incorrect mapping, then assign the correct field header

  8. Map each of the fields from your file to the appropriate Beacon field. Once all required fields are mapped, the Save button becomes available

  9. Click Save

After saving a column mapping template, it becomes available each time you attach a file with a matching field header. When you upload a new file, you can select your saved template from the Column Mapping dropdown, allowing Beacon to automatically apply the predefined mappings. You can also edit an existing template or delete a template later, if you decide.
